CRM setup & integration

No lead left behind

Every enquiry in one place.
Followed up automatically.

We’re ZERO FAFF. We set up and manage CRMs like HubSpot, Pipedrive, Zoho and monday.com, or build one around how you work, then connect it to your website, ads and inbox so nothing slips through the cracks.

Stage 1 of 5 / New lead

Every enquiry lands in one place

Sam fills in the form on your website. Within a second, they’re in your CRM.

Website forms, ad leads, calls, WhatsApp and emails all feed straight into the CRM, with where they came from, what they asked for and who’s looking after them. No sticky notes, no lost emails, no “did anyone call them back?”.

  • Website and ad forms
  • Calls and WhatsApp
  • Source tracking
  • Duplicate checks
Stage 2 of 5 / Contacted

Followed up before they’ve put the kettle on

Sam gets a reply in under a minute, and your team gets a reminder to call.

The CRM sends a friendly email and text straight away, creates a task for whoever’s on it and logs every call, message and visit on Sam’s timeline, so anyone can pick it up and know exactly where things stand.

  • Instant email and text replies
  • Tasks and reminders
  • Full history on one timeline
  • Shared with your team
Stage 3 of 5 / Quote sent

Follow-ups that happen on their own

You send Sam a quote. The CRM makes sure it doesn’t go quiet.

See when a quote’s been opened, and let the CRM chase it for you. Build your own follow-up below: it’s the kind of automation we set up for every client, so warm leads never go cold.

  • Quote tracking
  • Automatic follow-ups
  • Deal values and stages
  • Nothing goes cold
Stage 4 of 5 / Won

Won, invoiced and synced

Sam says yes. One drag, and the rest happens by itself.

Your whole pipeline on one board: what’s new, what’s waiting and what’s won, with the value of every deal. When a deal’s won, the CRM can send the invoice, update your accounts and let the team know.

  • Visual pipeline board
  • Invoices and payments
  • Xero and QuickBooks sync
  • Team notifications
Stage 5 of 5 / Repeat

And back they come

The job’s done. The CRM keeps Sam close, so they come back and tell their friends.

Review requests, check-ins, reminders and offers go out at just the right time, so happy customers leave reviews, book again and recommend you, without anyone having to remember.

  • Review requests
  • Check-ins and reminders
  • Repeat-customer offers
  • Customer value tracking
Two ways we do it

Off the shelf, or made for you

The right CRM, set up properly

Most businesses don’t need anything custom. They need a good CRM, set up around how they work, connected to everything and actually used. We’ll recommend the right one (including the free plans), set it up, move your data across, connect your website and ads, build your automations and train your team.

What you get

A CRM that does the chasing

Most small businesses lose enquiries without ever knowing it: a missed call, a form nobody saw, a quote nobody chased. Not because they don’t care, but because they’re busy doing the work.

A CRM set up properly fixes that. Every enquiry lands in one place, gets a reply in minutes and is followed up until it’s won or closed, without anyone having to remember.

And because it’s connected to your website and ads, you finally see which marketing brings in the customers, not just the clicks.

One inbox for leads

Forms, ads, calls and messages, all in one place.

Instant replies

Every enquiry answered in minutes, day or night.

Automatic follow-ups

Quotes chased and reminders set, without lifting a finger.

A clear pipeline

See every deal, its value and what happens next.

Reports that make sense

Where leads come from and what turns into sales.

A trained team

Everyone shown how to use it, in plain English.

Why ZERO FAFF

Why businesses trust us with their customers

01Built around how you work

We fit the CRM to your business, not the other way round, so your team actually uses it.

02Honest about what you need

Often a free or cheap plan is plenty. We’ll tell you, rather than sell you something bigger.

03Joined up with your marketing

We also build websites and run ads, so leads flow straight in and you can see what’s paying off.

Where we work

CRM setup for the North East, and beyond

We’re based in Durham and set up CRMs for businesses right across the North East, and for plenty further afield, by video call. Find your area to see what else we do near you.

Questions

Good questions, straight answers

What is a CRM, in plain English?

A CRM (customer relationship management system) is one place for every enquiry and customer: who they are, where they came from, what you’ve said to them and what happens next. A good one also does the chasing for you, with automatic replies, reminders and follow-ups.

Which CRM should we use?

It depends on how you work and how big you want to grow. We set up and manage HubSpot, Pipedrive, Salesforce, Microsoft Dynamics 365, GoHighLevel, Zoho CRM, monday.com and Asana, and we’ll recommend the one that fits, honestly, including the free and cheaper plans. If none of them fit, we can build one around your business.

Off the shelf or bespoke?

Most small businesses are best on an off-the-shelf CRM: it’s quick to set up and costs less. A bespoke CRM makes sense when the way you work is unusual, or when you need it to connect deeply to your website, booking system or other software. We’ll tell you which you need, and why.

Can you connect it to our website and ads?

Yes. Website forms, Facebook and Instagram lead ads, Google Ads, WhatsApp, calls, bookings and your email inbox can all feed into the CRM automatically, so every enquiry lands in one place without anyone copying it across.

Can you move our existing contacts and data across?

Yes. We tidy up your spreadsheets, old CRM or email contacts and import them properly, so you start with clean data rather than a mess.

Will my team actually use it?

That’s the point of setting it up properly. We keep it simple, build it around how your team already works, and train everyone in plain English. And we’re on hand afterwards when questions come up.

How much does it cost?

Setup is a fixed price, agreed before we start. The CRM itself may have its own monthly subscription, which you pay directly and we’ll be upfront about. Ongoing management is optional, with no long contract.

Who owns the data?

You do. The CRM is set up in your business’s name and your customer data stays yours.

Tired of chasing?
